Foundations of educational organization of MTÜ Sana

1. Registration for training

  • You must register for the training in advance. You can register via e-mail kadri@teadlikjuhtimine.ee or via the registration form on the website. By registering, the participant confirms that he has read and accepted the registration conditions and thus entered into a contractual relationship with the NGO Sana (hereinafter Sana).

  • The person who registers for the training undertakes to come to the training on time and actively participate in the entire learning process

  • The volume of the continuing education curriculum is determined in academic hours. One academic hour corresponds to 45 minutes.

  • Sana has the right to make changes to the plan and schedule of the training, informing all those registered for the training as soon as possible.

2. Tuition fee

  • The training fee is paid to the bank account by the date specified on the basis of the invoice issued by Sana. The invoice will be sent by e-mail. The training fee must be paid on the basis of the presented invoice before the start of the course or on the basis of the agreed payment schedule immediately before the end of the course. If the entire amount has not been paid by the end of the training, TKE has the right not to issue a certificate/certificate to the participant.

3. Giving up, interrupting training

  • If the training is left unfinished, the training fee will not be refunded, in case of interruption for health reasons, the participant can join one of the next groups. Postponement of training is possible only once. In the event that the participant interrupts the training and only the partial payment has been paid, or even that has not been paid, the participant is obliged to pay the entire invoice for the course, which was issued by Sana.

  • Withdrawal from the training before the start of the training: If the person registered for the training is unable to participate in the training, he must be informed immediately by e-mailing Sana at mtysana@gmail.com

  • if cancellation is notified more than 7 days before the training, 100% of the training fee will be returned;

  • if the cancellation is notified 3-7 days before the training, 50% of the training fee will be returned;

  • if the cancellation is notified up to 2 days before the training, the training fee will not be refunded;

  • if the learner has registered for the training, but does not show up and does not announce his/her non-participation, 100% of the cost of the training must be paid by him/her (regardless of whether the invoice has been paid in advance or not).

4. Canceling or postponing training

  • If the planned training group is not filled, Sana has the right to cancel the training or postpone the training until the training group is filled. Those registered for the training will be informed about it by e-mail or phone as soon as possible. If the training is cancelled, the training fee will be refunded in full or, if the participant wishes, it will be transferred to another training.

  • If the training is postponed, the participant will be registered in the next group by mutual agreement. If it is not suitable, the training fee paid to the participant will be returned.

5. Tuition fee and income tax refund

  • The curricula of the NGO Sana are registered in the Estonian Education Information System. The tuition fee for the training paid to Sana can be included in the training expenses on the income tax return and receive an income tax refund on the given amount (Income Tax Act § 26, more detailed conditions can be found in the Estonian Tax and Customs Board").

  • In order to receive a refund of income tax, the invoice must be paid by the same person to whom the invoice has been issued and for whom the corresponding data (including personal identification number) have been submitted to Sana.

6. Learning quality

  • Sana's trainers and cooperation partners are reliable professionals who consider the needs of the participants when conducting the training. The following principles ensure the educational quality of the training:

  • The trainers of the NGO Sana have completed the corresponding trainings, which are confirmed by qualification(s) certificates

  • The trainers of the NGO Sana are all experts in their field, whose education, work and/or life experience and further training support the implementation of Sana trainings. We prepare training curricula based on needs, relying on documents establishing and developing the quality of Estonian education (national curricula, professional standards, national mental health...

  • Contact training takes place in rooms that meet the requirements of the Occupational Health and Safety Act. Study rooms are chosen to be bright, airy and warm and equipped with the necessary equipment for training. Learning can also take place online.

  • At the end of the training, participants fill out a feedback form. The collected data is analyzed and used to improve the training curriculum etc.

  • On the basis of the curriculum, learners who have participated in joint studies to the extent of at least 75% and have done independent work will be issued a digitally signed certificate by e-mail; if no independent work is submitted, a certificate will be issued, if less than 75% participation in the study, no certificate will be issued.

7. Other Terms

  • The copyright of the training materials belongs to the NGO Sana or the trainer or other owner of the rights referred to. Copying and distribution of training materials without the written consent of MTÜ Sana is not allowed.

  • The NGO has the right to refuse the provision of training services without providing reasons.

  • By registering for the course and paying the invoice, the client agrees to the terms and conditions stated in the study organization of the NGO Sana.

Principles of personal data protection

  • Sana MTÜ offers trainings aimed at a wide population and thus may come into contact with sensitive personal data of the participants during the provision of its service, but it is not collected or processed.

  • Personal data is data that Sana collects in order to fulfill a contract with an individual or institutions or to contact them.

  • The controller of personal data is Sana.

  • Sana uses authorized processors in its daily operations. Authorized processors are Sana's trainers and other authorized persons to whom Sana has given instructions on the basis of the contract to process data on behalf of Sana.

  • The training participant has the right to receive information about who processes his personal data and for what purposes, as well as other relevant information in order to ensure fair and transparent processing of personal data. One way to get information is to familiarize yourself with this privacy policy, which describes how and why Sana processes participants' personal data. Sana collects the following data about participants:

  • Contact information (name, e-mail address, phone, payer's address), institution and personal identification number. The personal identification number is necessary for obtaining a certificate, certificate or income tax refund. Please fill in the name of the institution if the institution pays for the participant. Personal data is processed on the basis of § 6 of the Personal Data Protection Act.

  • The above data is collected and used by Sana in order to fulfill the obligations arising from legislation in general, as well as to fulfill the contract concluded between the participant and Sana (for example, to transmit organizational information and training materials related to the training, to request confirmation of participation, to send invoices and to make the necessary clarifications).

  • If necessary, Sana also uses the contact details of the participants for marketing purposes (e.g. advertising letters about the following trainings, newsletters, etc.), but only if the participant has given us their consent for this on the feedback sheets filled out at the end of the course. The recipient of the information letter has the opportunity to withdraw his consent at any time by clicking on the link at the end of the information letter (unsubscribe) or by sending an e-mail with the relevant content to the address e-mail address: lekadri@teadlikjuhtimine.ee

Sana processes the following personal data:

  • Name of the training;

  • paid training fees (Sana uses this data to fulfill the obligation to provide information arising from the Income Tax Act. Data on attendance and absence from training (based on the completion of the curriculum, Sana decides whether the person will be issued a certificate or a certificate).

  • The institution is necessary if the institution pays the training costs of the training participant.

  • Sana processes customer data in feedback questionnaires. We value the opinion of the participants, and with the help of questionnaires we can improve the quality of our service and better understand the expectations of the participants. .

Sana shares participants' personal data as follows:

  • Regarding the training participants, Sana forwards the data provided on the registration form (first and last name, telephone, e-mail address, institution, personal identification number, etc.) to the trainer conducting the training.

  • When certificates are issued, participants in the same training group can access the certificates of the entire group (they are digitally signed in one container), which means that the participant's first and last name and personal code (this is not considered sensitive personal data in Estonia) are visible to the students in the same group. At the request of the participant, the certificate will be issued in a separate digitally signed container, if the participant informs about it at the latest at the last meeting of the course.

  • General statistics of training participants are shared with the Ministry of Education and Science (i.e. the total number of training participants, names of institutions and aggregate numbers that do not allow identification of the participants).

Sana stores personal data

  • When determining the data retention period, we are based on the maximum limitation periods prescribed by law for filing claims, i.e. 10 years from the end of the contractual relationship.

The right to consult the data

  • The participant has the right to get acquainted with the data collected about him/her by sending an e-mail to the address mtysana@gmail.com
